Administrative Specialist

We are looking for an experienced Administrative Specialist to join our Team in a new brand office in Warsaw (Aleje Jerozolimskie) and contribute to the success of IBA Poland together!

Must have:

  • At least 1 year of experience in a similar position.
  • Fluency in Polish and English.
  • A valid work permit in Poland.
  • A positive attitude towards working from the office (remote working is possible only in exceptional situations).


You might be the perfect match if you:

  • Have a very good knowledge of MS Office, particularly Word, Excel, and PowerPoint. Knowledge of MS Teams will be a plus.
  • Demonstrate a professional approach to entrusted duties and are open to new challenges.
  • Possess excellent communication and interpersonal skills.
  • Have a positive and problem-solving mindset.
  • Are a cooperative team player.
  • Are reliable, self-organized, and pay attention to detail.


Moreover, we appreciate skills in these areas:

• Experience in administration, and/or customer service areas will be a huge plus;
• Can-do attitude and creativity in action;
• Eager to learn and willing to take the initiative and responsibility.

Project Description

Main tasks & responsibilities:

  • Ensuring the smooth functioning of the Warsaw office;
  • Coordinating the administration of employee benefits such as Medicover, MyBenefit, and Multisport;
  • Managing documents and ensuring proper information flow;
  • Handling correspondence and document management;
  • Managing supplies for the office, including catering, hygiene, and other materials;
  • Overseeing the maintenance of the office and equipment, including cleaning, repairs, and improvements;
  • Providing administrative support to the team located in Wrocław;
  • Collaborating with external suppliers;
  • Supporting integration events;
  • Assisting with business meetings and trips.
